Information collected
Depending on how families use the service, MyrieTuition may collect:

Information required to provide tuition
A parent or carer must provide the contact, emergency and educational information reasonably required to assess suitability, arrange tuition and protect the student’s welfare. MyrieTuition may be unable to enrol or continue teaching a student if essential information is not provided.
How information is used

Lawful reasons for using information
MyrieTuition uses personal information only where there is an appropriate lawful basis. These include:

Particular care is taken when handling children’s information. Their interests, rights and welfare are considered when deciding whether and how information should be used.
Lesson recordings
Live lessons are recorded for safeguarding, quality assurance and the appropriate investigation of concerns or complaints.
MyrieTuition relies on its legitimate interests in maintaining a safe, accountable and high-quality teaching service when recording lessons. Recording is limited to what is reasonably necessary for these purposes, with particular consideration given to students’ privacy and rights.
Students are not required to activate their cameras. However, a student’s display name, voice, written contributions or image may be captured when they participate.
Recordings:

Are stored securely.

Are accessible only by Semone, unless disclosure is necessary to address a safeguarding concern, complaint, legal requirement or lawful request from an appropriate authority.

Are not published or used for advertising.

Are not routinely shared with students or other families.

Are normally deleted after 30 days.

May be retained for longer if a specific safeguarding concern, complaint or legal matter requires it.
Parents and students are informed about recording before enrolment and when recording begins.
Communication with students
Students may communicate directly with Semone during scheduled lessons.
Outside lessons, individual communication takes place through the parent or carer’s registered email address or telephone number. Students should not contact Semone through private social-media accounts or personal messaging services.

Sharing information
Personal information may be shared only where necessary with:

Website, email, cloud-storage and videoconferencing providers supporting the service.

Payment providers and financial institutions.

Accountants, insurers, legal advisers or other professional advisers.

Examination, learning or assessment platforms where these are used to provide the service.

Children’s social care, the police, the Local Authority Designated Officer or another safeguarding authority where a concern requires referral.

Service providers are permitted to use information only as necessary to provide their services and must apply appropriate data-protection and security measures.
Some service providers may process information outside the UK. Where this occurs, appropriate legal safeguards will be used and further details are available on request.

Reasonable technical and organisational measures are used to protect personal information. These include:

How long information is kept
Information is retained only for as long as reasonably necessary.
Typical retention periods are:

Enquiries that do not lead to enrolment: up to 12 months.

Routine teaching, attendance and progress records: normally up to 12 months after tuition ends.

Lesson recordings: normally 30 days.

Financial, payment and contractual records: up to six years where required for accounting, tax or legal purposes.

Safeguarding, complaint or legal records: for as long as necessary to manage the concern and meet relevant professional or legal responsibilities.
Information may be retained for longer where there is a safeguarding concern, dispute, legal requirement or continuing need to protect someone’s interests.
Marketing
Marketing emails will be sent only where there is an appropriate lawful basis. Parents and carers may unsubscribe or ask not to receive marketing communications at any time.
Administrative messages concerning current tuition are not marketing and may still be sent where necessary to provide the service.
Cookies and website information
The MyrieTuition website may use cookies and similar technologies required for security and basic website operation.
Where non-essential analytics or marketing cookies are used, visitors will be provided with appropriate information and choices through the website’s cookie controls.
Data-protection rights
Parents, carers and students may have the right to:
